Getting Started
When you open Dictate Pro, you'll see the dictation interface with a central microphone button and your output settings below it.
Choosing Your Output Mode
Before you start recording, use the "To generate" dropdown to select your output mode. There are two options:
Verbatim Transcription
Select Verbatim transcription from the "To generate" dropdown.
This captures what you say word for word, while tidying up grammar, removing filler words, and applying professional formatting. Your clinical content and terminology are preserved exactly as spoken. Ideal for medical letters, medicolegal reports, specialist referrals, and discharge summaries.
Clinical Note (Using a Prompt Template)
Select Clinical note from the "To generate" dropdown.
A second dropdown will appear — "using" — where you can choose which Prompt Template to apply (e.g. "Initial – Psychologist"). The AI will listen to your dictation and organise it into the structured format defined by your selected template.
This is ideal for standard patient consultations where you want structured clinical documentation such as SOAP notes, assessment summaries, or treatment plans.
Selecting Your Microphone
Use the microphone dropdown to choose your audio input device (e.g. iMac Microphone, external headset, USB mic).
💡 Pro Tip: Always check that the audio input meter is responding before you begin dictating. This confirms your selected microphone is picking up your voice correctly.
Upload Audio File
If you've already recorded your dictation elsewhere, you can use the Upload Audio File button to upload a pre-recorded audio file instead of dictating live. The system will process it using your selected output mode — whether that's Verbatim Transcription or a Clinical Note with a Prompt Template.
Dictate Pro Workflow
Click on Dictate Pro.
Use the "To generate" dropdown to select your output mode:
Verbatim transcription — for word-for-word formatted dictation.
Clinical note — then choose your Prompt Template from the "using" dropdown.
Select your microphone from the dropdown.
Click the microphone button to start recording and speak naturally about your patient encounter.
When you're finished, click Stop to end the recording. The system will process your dictation.
A session name and short summary will automatically generate from your dictation. These can be edited at any time by clicking on the session.
Click Finish.
Click on the patient session to review your generated documentation.
Click Mark as Complete.
After generating your documents, the standard workflow still applies — you can manually access previous sessions, generate notes, and delete sessions as needed.
Once uploaded, you'll have the option to use your current letter templates to populate either a medical letter or a patient summary.
📌 Note: Dictate Pro sessions are stored for 30 days and are then automatically deleted.
🗣️ Using Verbatim Transcription
Verbatim mode is designed for clinicians who want their spoken words preserved closely, with the AI acting as an intelligent medical transcriptionist — polishing grammar, removing filler words, and tidying formatting, while keeping your clinical content intact.
This is perfect for:
Medicolegal reports
Specialist referral letters
Discharge summaries
Medical reports (imaging, pathology)
Any document where your exact wording matters
How It Works
Open Dictate Pro and select Verbatim transcription from the "To generate" dropdown.
Speak naturally — there's no need to verbalise punctuation or carefully structure your grammar. Just speak the way you normally would in a clinical setting.
The AI will transcribe your speech closely while automatically cleaning up filler words (um, uh, like), fixing grammar, and applying professional formatting.
Your medical terminology, drug names, dosages, and clinical content will be preserved exactly as spoken.
Tips for Best Results
Verbal commands work — you can say things like "new paragraph", "full stop", or "next line" and the system will interpret them as formatting instructions rather than transcribing them literally.
Self-corrections are handled — if you correct yourself mid-sentence, the AI will use your corrected version in the final output.
Speak naturally — unlike traditional dictation, you don't need to speak in perfectly formed sentences. The AI will polish your natural speech into professional medical documentation.
📝 Using Clinical Note with a Prompt Template
If you want structured clinical documentation, select Clinical note from the "To generate" dropdown, then choose your template from the "using" dropdown.
How It Works
Open Dictate Pro and select Clinical note from the "To generate" dropdown.
Choose your desired Prompt Template from the "using" dropdown (e.g. "Initial – Psychologist").
Start by describing the patient's presenting complaint, then continue with your examination findings, assessment, and plan.
The system will automatically format your dictation into the structured format defined by your selected template.
🚀 Advanced Tips
Use the Feedback Box to Refine Output (Clinical note output only)
After your note is generated, scroll to the Feedback section and type a refinement instruction. For example:
"Please regenerate in verbatim format."
"Restructure this as a SOAP note."
"Add a plan section."
This is a quick way to adjust the output without re-dictating.
