Templates help standardise note quality across your clinic while still allowing each clinician to keep personal versions when needed. In PatientNotes, templates are clearly separated so it’s easy to see what’s yours and what’s shared.
Where to find templates
Go to Templates and you’ll see two main sections:
My Templates: templates you’ve created or imported for your personal use
Organisation Templates: templates shared by your clinic/organisation (available to the whole team)
This layout makes it easy to manage personal templates without mixing them up with shared clinic templates.
Sharing templates within your Clinic/Organization is limited to our Professional / Clinic Plan subscriptions.
Who can share templates?
Only users with the right permissions (typically the Owner or a Power User) can enable template sharing for team members. The team must be on a Clinic/Professional Plan level subscription.
To update permissions:
Go to Clinic Setup
Find the team member
Adjust permissions next to their name to allow template sharing
How to share a template (for Owners / Power Users)
If you have a template in My Templates that you want to share with your team:
Go to Templates
Under My Templates, find the template you want to share
Click Share
Once shared, that template will appear under Organisation Templates for other team members.
Tip: If you don’t see the Share option, your account may not have permission—ask your clinic owner to enable it in Clinic Setup.
What team members can do with Organisation Templates
Team members can:
View and use Organisation Templates when starting a session
Duplicate an Organisation Template to create their own personal version (so they can customise it without changing the clinic version)
Team members generally cannot edit the Organisation Template directly. If a clinic-wide template needs updating, they should request changes from the Owner/Power User.
Keeping your template list organised
You can reorder templates to control how they appear in the dropdown when starting a session.
