Multi-Session Reports let you build a single, structured document that draws on multiple patient sessions — not just one appointment. Instead of manually collating notes across visits, PatientNotes reads your selected sessions and generates a consolidated, professionally formatted report in seconds.
This is ideal for:
Progress reports — summarise weeks or months of treatment in one document
NDIS and insurance reports — draw on multiple visits to satisfy funding body requirements
Referral letters — give the receiving provider a full picture of the patient's history with your practice
End-of-program summaries — wrap up a full course of treatment with a complete clinical overview

How to Create a Multi-Session Report
Follow these steps to build your first Multi-Session Report:
1. Go to Reports
In your PatientNotes dashboard, click Reports in the left sidebar, then click New Report.
2. Select your patient
Choose the patient you want to report on from the patient list. Only sessions linked to that patient will be shown in the next step.
3. Choose the sessions to include
Select the sessions you want included in the report. You can pick as many sessions as needed — PatientNotes will read across all selected sessions when generating the report.
💡 Tip: Sessions are listed by date. For progress or funding reports, select the full date range relevant to the reporting period.
4. Select your report template
Choose the report template that matches the document you need to produce (e.g. NDIS Progress Report, Referral Letter, End-of-Program Summary). Your available templates are drawn from your configured letter and report prompts.
5. Generate the report
Click Generate Report. PatientNotes will process your selected sessions and produce a consolidated, structured report — this typically takes 15–30 seconds depending on the number of sessions included.
6. Review, edit, and download
Once generated, review the report output. You can make edits directly in the editor, then download it as a PDF or copy it to your practice management system.
Tips for Best Results
Complete your sessions first — reports generate best from sessions that have been marked as complete, as these have fully processed notes and transcripts available.
Use a specific report template — a well-structured letter or report prompt will produce a more focused, usable document than a general clinical note template.
Include relevant sessions only — if reporting on a specific episode of care, select only the sessions in that date range rather than the patient's full history.
Review before sending — as with all AI-generated content, always review the report for accuracy before sharing with third parties or attaching to funding submissions.
Frequently Asked Questions
How many sessions can I include in one report?
There is no fixed limit — you can include as many sessions as are relevant. Very large session sets may take slightly longer to process.
Can I edit the report after it's generated?
Yes — the report output is fully editable. Make any changes directly in the editor before downloading or sharing.
What templates are available for reports?
Report templates are drawn from your configured letter and report prompts. If you need a specific report type that isn't available, you can create a new prompt under Letters and Reports in the sidebar.
Do I need the patient to be present?
No — Multi-Session Reports are generated entirely from your existing completed session notes. No new recording is required.
Can I use this for NDIS reports?
Yes — this feature is particularly well suited to NDIS progress reporting. Select all sessions in the relevant NDIS plan period, choose your NDIS progress report template, and generate.
