Admin or Owner who doesn't record sessions — do they need a paid seat?

Does an admin, practice manager or Owner who doesn't record sessions need a paid seat? Generally yes — organisations with more than 5 users can contact us to request an exception.

Want to manage your clinic's PatientNotes account — the team, templates and settings — but you don't record sessions yourself? Here's how admin access and seats work.

Does an admin or Owner need a paid seat?

Generally, yes. Every user who logs in to your PatientNotes organisation uses a paid seat, whatever their role — including the account Owner and Power Users (admins). How seats and billing work

Organisations with more than 5 users

If your organisation has more than 5 users and you'd like an Owner or admin who doesn't use PatientNotes clinically to manage the account without a paid seat, contact us and we'll consider your request. Include:

  • Your clinic or account name

  • How many users are in your organisation

  • The name and email of the person who'd be the admin, and what they need to manage

Handing your clinical seat to someone else

If you're the Owner and you're stepping back from using PatientNotes, you can bring a new practitioner into your organisation from Settings → Clinic Setup → Members. Adding a user step by step

If you want to keep managing the account without a seat of your own, contact us first so we can set it up correctly — changing your own role or ownership isn't something you can do yourself. Want someone else to take over as Owner entirely? See How to transfer account ownership.

What can an admin do?

A Power User can manage the team, roles, templates and organisation settings. Billing stays with the account Owner. Power User role — what can they do?
