Using Task Manager to track follow-ups and to-dos

Task Manager (your tasks list / to-do list) helps you keep track of follow-ups, letters, referrals, recalls, reminders, and other to-dos for your clients — so nothing slips through the cracks between sessions.

Note: Task Manager is only available on the Professional plan.

Where to find it

Where Task Manager appears depends on whether you've connected a practice management system / EMR (such as Cliniko):

  • With an EMR connected — your Dashboard has two tabs: Appointments (your scheduled appointments for the day) and Tasks (your task list). Tasks live under the Tasks tab.

  • Without an EMR connected — Tasks sit in the right-hand column of your Dashboard, next to the "Start a new session" panel.

Either way, this is where you create, view, and complete your tasks.


Three ways to create a task

You can add tasks in whichever way suits your workflow.

Option 1 — Add a task manually

Click Add task. In the New Task dialog you can set:

  • Client name

  • Task type — Call client, Write letter, Scan needed, Send referral, Review results, Book recall, or Follow-up

  • Due date

  • Urgent flag

  • Note — a short description of what needs doing

Click Create task to add it to your task list.

Option 2 — Add a task from a session

Use the + Add task icon at the top right of the session screen. This automatically fills in the client name and creates the task in your task list, linked to that client.

Option 3 — Add a task from the Plan section

During or after a session, any actions flagged in the Plan section have their own Add task button. Click it to turn that action into a task — it will connect to the client's session automatically.


Completing tasks

When a task is done, click Complete to mark it off. The task shows as completed, and if you clicked it by mistake you can click Undo to bring it back.
