💡 Using the new Template Editor? If you're on the current version of PatientNotes, the easiest way to import your existing notes is via the Import from Notes option in the Template Editor. Paste an example of your existing clinical note or PMS template and PatientNotes will build a structured template from it automatically. Go to patientnotes.app/dashboard/templates to get started. The steps below apply if you are using the legacy Prompts editor. Your existing prompts still work and are accessible under Letters and Reports in the sidebar.
How to use your existing letters and templates
Copy and paste the desired template from your practice management system or a document.
If you're using your practice management system, choose the text from the clinical or letter template.
Select the relevant text from either the clinical or letter template and copy it. To incorporate the text, simply copy and paste it as needed.
To Copy:
Highlight the text you want to copy.
Right-click and select "Copy", or press Ctrl + C (Windows) / Command + C (Mac).
To Paste:
Navigate to where you want to paste the content.
Right-click and select "Paste", or press Ctrl + V (Windows) / Command + V (Mac).
Navigate to the Prompt editing suite: patientnotes.app/dashboard/prompts
Paste the desired template content below the initial instructions and click Save.
Then paste the following prompt ABOVE the pasted-in notes:
Generate detailed [musculoskeletal physiotherapy] clinical notes following the provided guidelines.
Edit the profession to match your clinical practice.
When copying from your PMS, it may bring across extra formatting or references — it's recommended to tidy this up before saving.
Step-by-step: Adding a new Prompt
1. Click on Settings
2. Click on Prompt Templates
3. Click on Add
4. Select prompt type and enter a name
5. Paste your content and edit as needed
Paste the following prompt above your pasted content: "Generate detailed [musculoskeletal physiotherapy] clinical notes following the provided guidelines."
Adjust the profession to match your clinical practice.
Tidy up any formatting brought over from your PMS.
6. Click Create
Your new prompt will now be available in the dropdown when starting a session.
