Sometimes a recording is saved, but the transcript (and therefore the clinical note) hasn’t been generated yet. Follow the steps below to manually generate the transcript and trigger note creation.
Additionally, this guide will also cover broader troubleshooting steps for missing session notes or transcripts, including refreshing templates and addressing potential loading delays. This guide also introduces Patient Summary management, an opt-in feature in PatientNotes, which allows users to generate summaries on demand or enable automatic generation for every session.
Step 1: Open the recording details
Open the consult where the note is missing.
Go to Consent.
Under Recording, click the text link View recording details.
This opens a screen showing the transcript and the recording(s) for that consult.
Step 2: Generate the transcript
On the recording details screen, find the button on the right: Generate transcript.
Click Generate transcript and wait for it to complete.3. If the transcript does not appear, it may be due to the session length or a loading issue. Retry generating the transcript after a short wait. Additionally, note that AI non-determinism can sometimes result in malformed output, particularly with longer transcripts or complex note generations. This is a limitation of the AI system and not a user error.
Step 3: Return to your notes
Go back to the consult Notes.
Refresh the page (or close and re-open the consult).
Check for the generated clinical note.4. If the note still doesn’t appear, try switching the note template to a different one and then back to the original template. This refresh can often repopulate the saved notes or transcript. This issue may also be influenced by AI non-determinism, which can occasionally produce incomplete or malformed notes. Switching templates can help mitigate this limitation.
If the note still doesn’t appear , consider revisiting the troubleshooting steps, including regenerating the transcript and switching templates, before escalating the issue.
