The PatientNotes iOS app works best when a few simple habits are followed during recording. These tips will help ensure your sessions process correctly and your clinical notes generate every time.
Keep the app open during your recording
The most important tip: keep PatientNotes open and visible on your screen for the entire duration of your session.
If you switch to another app, lock your screen, or background PatientNotes while recording, the audio may not be split correctly. This can result in your note generating from an incomplete recording, producing a blank or very short note. If you notice an issue please contact our support team.
If you need to check something on your phone mid-session, try to return to PatientNotes as quickly as possible before finishing the recording.
Wait for the processing confirmation before closing the app
After you tap Finish, wait until you see the Processing status on screen before navigating away or closing the app. This confirms your audio has been received and your note is being generated.
Closing the app or locking your phone before this confirmation may interrupt the upload.
Stay connected during and after recording
PatientNotes needs a stable internet connection to upload your audio and generate notes. If your connection drops mid-session or immediately after finishing, your note may not generate correctly.
If you're in an area with poor signal, consider waiting until you have a stronger connection before finishing the session.
Avoid interruptions during recording
Phone calls, alarms, and Bluetooth disconnections can interrupt an active recording. Where possible:
Put your phone on Do Not Disturb before starting a session
Keep your Bluetooth headset connected if you're using one
Avoid switching audio output devices mid-recording
What to do if your note didn't generate
If you finish a session and your note is blank or missing, try the Fix Session button on the affected session first — this will attempt to recover and regenerate the note from your recording.
If that doesn't resolve it, contact our support team via the chat widget with the session name and we can manually push it through.
Using Cliniko or Nookal with the iOS app
The updated iOS and Android apps now support diary integration with Cliniko and Nookal. Your day's appointments load directly in the app so you can tap a patient and start recording without entering their name manually. Learn more →
