Cliniko troubleshooting: not connecting, dashboard not loading, or notes not sending

Cliniko not connecting, dashboard or appointments not loading, or notes not sending / no Save to Cliniko button? Check matching emails, the status icons, and the practitioner API key.

Quick fixes for the most common Cliniko problems. Setting up for the first time? See Setting up Cliniko Integration.

First check: do your email addresses match?

This causes most Cliniko problems. The email you log in to PatientNotes with must be exactly the same as the email you log in to Cliniko with. If they're different, your dashboard and appointments won't load and notes can't be sent back.

My dashboard or appointments won't load

  • Check your PatientNotes and Cliniko login emails match (above).

  • Check the integration status in Settings → Integrations. A green tick means it's connected. A red icon means there's a problem — click it for details.

  • Just added a team member? Allow up to 5 minutes for their connection to link — a red icon at first is normal.

  • On the iPhone or Android app, appointments load in the Dashboard tab at the bottom of the screen. If it's missing, the email mismatch is almost always the cause. Load your day's appointments in the app

What the icons mean

  • ✅ Connected to Cliniko with a valid API key

  • ⚠️ Connected to Cliniko but the practitioner's API key is missing or invalid — notes can't be sent back yet

  • ❌ Not connected — check the API key and that the Cliniko and PatientNotes login emails match

My note won't send to Cliniko, or there's no "Save to Cliniko" button

For a note to send to Cliniko, two things need to be true:

  1. The session was started from the appointment on your PatientNotes dashboard. That's what links the session to the right Cliniko patient. Sessions started manually, uploaded audio, and notes created before Cliniko was connected aren't linked to a patient, so they can't be sent automatically — copy and paste the note into Cliniko instead.

  2. Your own practitioner API key has been added. Cliniko needs an organisation API key (for the dashboard) and a key for each practitioner (for sending notes back). If the send button is missing or greyed out, create your API key in Cliniko (My Info → Manage API keys) and give it to your PatientNotes account Owner to add for you.

Cancelled appointments or classes are cluttering my dashboard

You can hide cancelled appointments and sync class participants from your Integrations preferences. Hide cancelled appointments · Sync class participants

The recording saved but there's no note

That's a session issue rather than a Cliniko one. See Recording, transcript or note problem? Start here.

Still not working?
